Terms & Conditions

By booking a retreat marketed under Ateliê da Luz and organized by Gallery Sitka (“we”, “us”, or “Organizer”), you (“participant” or “guest”) agree to the following Terms & Conditions.
1. Booking & Payment
Your place in the retreat is confirmed once:
- You complete the booking form
- You receive written confirmation from Gallery Sitka
- Your deposit or full payment is received
Submitting a booking request does not guarantee a place.
Payment Schedule
If booking more than 90 days before retreat start date:
- A non-refundable deposit is required to secure your place
- Final payment is due 90 days before retreat start date
If booking within 90 days, full payment is required at booking.
All payments are processed by Gallery Sitka.
Gallery Sitka reserves the right to decline any booking.
Minimum age: 21 years old
2. Pricing
Prices include only the items specifically listed in the retreat description.
Prices do not include:
- Flights
- Travel insurance
- Personal expenses
- Optional activities
- Airport transfers (unless stated)
Prices are listed in USD unless otherwise stated.
Prices are subject to change until booking is confirmed.
3. Travel Insurance (Required)
Participants are required to purchase travel insurance including:
- Trip cancellation coverage
- Medical coverage
- Emergency evacuation coverage
Gallery Sitka and Ateliê da Luz are not responsible for:
- Flight cancellations
- Travel delays
- Illness or injury
- Lost baggage
- Personal emergencies
Participants assume responsibility for all related costs.
4. Cancellation by Participant
Due to the small group nature of the retreat:
- 91+ days before retreat: Deposit is non-refundable
- 90 days or less: 100% of retreat cost is non-refundable
No refunds will be issued for:
- Late arrivals
- Early departures
- Missed activities
- Unused services
Travel insurance is strongly recommended.
5. Retreat Changes & Cancellation
Gallery Sitka reserves the right to:
- Modify itinerary
- Change accommodations
- Adjust instructors
- Adjust schedule
If the retreat is cancelled by Gallery Sitka, participants will receive:
- Refund, or
- Credit toward future retreat
Gallery Sitka is not responsible for:
- Flights
- Travel expenses
- Additional costs incurred
6. Minimum Group Size
This retreat requires a minimum of 8 participants.
If minimum enrollment is not reached:
- Retreat may be rescheduled
- Retreat may be cancelled
- Participants will receive refund or credit
7. Accommodation & Room Assignments
Participants will stay in shared or private rooms depending on selection and availability.
Room types may include:
- Shared room
- Private room
- Single occupancy (limited availability)
Room assignments are made by Gallery Sitka.
While preferences are considered, specific room assignments cannot be guaranteed.
8. Room Sharing Policy
Participants booking shared rooms may:
- Request a roommate
- Be paired with another participant
If a shared room participant cannot be paired:
- A single supplement fee may apply, or
- The booking may be adjusted accordingly
9. Single Supplement
Single occupancy rooms are limited and available for an additional fee.
Single supplement pricing will be provided upon request.
Single occupancy is assigned on a first-come, first-served basis.
10. Waitlist Policy
If the retreat is fully booked:
- Participants may join the waitlist
- If a space becomes available, waitlisted participants will be contacted
Waitlist offers must be accepted within 48 hours.
11. Travel Requirements
Participants are responsible for:
- Valid passport
- Visa requirements
- Travel documentation
- Health requirements
Gallery Sitka is not responsible for denied entry or travel issues.
12. Health & Participation
Participants acknowledge:
- Retreat involves walking
- Mountain terrain
- Uneven paths and stairs
Participants must:
- Inform organizers of dietary restrictions
- Inform organizers of medical conditions
- Take responsibility for personal health
13. Dietary Requirements
We will make reasonable efforts to accommodate dietary requirements. However:
- Not all dietary restrictions can be guaranteed
- Participants remain responsible for personal needs
14. Responsibility & Liability
Gallery Sitka acts as organizer and coordinator.
Gallery Sitka is not liable for:
- Third-party suppliers
- Accommodation providers
- Transportation companies
- Workshop instructors
- Guides or vendors
Participants assume risk associated with travel and activities.
15. Behavior & Group Experience
Participants agree to:
- Respect group environment
- Respect local culture
- Follow host guidance
Gallery Sitka reserves the right to remove participants whose behavior disrupts the group. No refund will be provided.
16. Photography & Media
Photos and videos may be taken during the retreat.
By participating, you agree that Gallery Sitka and Ateliê da Luz may use:
- Photos
- Videos
- Testimonials
For marketing and promotional purposes.
Participants may request exclusion in writing.
17. Free Time Activities
Participants may choose optional activities during free time.
Gallery Sitka is not responsible for:
- Independent activities
- Third-party bookings
- Optional excursions
18. Force Majeure
Gallery Sitka is not responsible for events beyond control including:
- Weather
- Natural disasters
- Pandemics
- Government restrictions
- Travel disruptions
19. Payment Plans (Optional)
Payment plans may be offered at Gallery Sitka’s discretion.
Payment plans must:
- Be agreed upon in writing
- Be completed before retreat start date
Failure to complete payments may result in cancellation.
20. Changes by Participant
Requests to:
- Transfer booking
- Change room type
- Change participant
Must be submitted in writing and are subject to availability. Additional fees may apply.
21. Travel Delays
Gallery Sitka is not responsible for:
- Flight delays
- Missed connections
- Late arrivals
Participants are responsible for joining the group if delayed.
22. Agreement
By booking, participants confirm:
- They have read these Terms & Conditions
- They agree to all conditions
- They assume responsibility for participation
